Volunteer Descriptions
Poster Distribution Coordinator – someone to recruit 3 or four people to divide up the area surrounding the concert site and request poster placements. Be sure to have these people take tickets (if the concert is free) to the manager/owners of these establishments.
Ticket Distribution Coordinator (If Free Concert) – Have your Outreach Pastor or Personal Ministries Director contact us on ideas on how to organize door to door distribution of these tickets. During church, stories and examples can be shared on ways the church members can be armed with tickets – ready to extend an invitation to a friend or co-worker. Members who have wonderful stories surronding their visits to homes in their neighborhoods or with fellow employees, etc. should be asked to share them during Sabbath School or the personal ministries period.
Postcard Mailing - The church office should mail the postcards to their full mailing list and then invite the church members to take postcards home to mail to friends. It is very important that they FOLLOW-UP the postcard with a personal invitation.
Product Sales Coordinator – We need someone to work directly with Morning Song in organizing a group of volunteers to help us with sales the night of the concert. We will need help with load in, table set-up, product set-up and sales during and after the concert (sometimes before). This person will need to recruit 4-6 people.
PA & Sound Director – The person in charge of the sound system (which involves running the mixing board and playing the tracks for the concert), should be given the link to the PA and Sound page and then encouraged to contact Steve Darmody with any questions or to discuss details of the concert. Please email Steve with the name and contact information for the main PA person who will be in charge that night.
Lighting/Video Director – We will need a DVD player and projector for the concert if at all possible. We would also like to do as much as possible with lighting effects. It may just be turning off the lights during a song or when the projector is on to working with sophisticated computerized lighting controls. Whatever you situation is, please contact us with the names of those involved. We will work around any lighting environment. Stage Decorations Committee - it is nice when you can transform a platform into an intimate Christmas performance stage. Volunteers, staging items donated or borrowed from members can often make the stage a wonderfully theme appropriate concert stage. View through our photo gallery for some ideas.
Greeting Committee – A nice couple at every door entrance is essential. Some churches have had their greeters dress in Dicken's wardrobe, or wear uniform colors or dress ensembles. Have fun! That's the main thing! Your greeters will make the first impression. Greeters should also be well informed as to your plans for gathering ticket stubs, or names and addresses of those who wish to participate in the gift drawing.
Choir Director – if you want to offer to your vocalist in the church the opportunity of joining us for the last song, which is a Messiah Medley, we need to have Jennifer in contact with whoever wishes to coordinate your local ‘choir’. If you have a church choir, it would be the choir leader, I suppose, but not necessarily. Some churches are contacting other churches in the area and inviting their choirs to come and join in as a mass community choir. Artist Care – Someone, or a couple, who would like to provide assistance to the artists is very helpful. It could include anything from picking them up at the airport, providing bottled water for rehearsal and concert, perhaps a light supper at the church before the concert, and arranging dressing rooms as needed. Artist Care should work directly with Jennifer.
Pre-Concert Meal - The schedule we have for loading into the venue, sound checks, meeting with staff, rehearsal, etc. often does not allow time to leave the venue for a light meal for the artists. If possible, it is very helpful to have a meal brought to the venue 2 hours prior to the concert. Sandwiches, chili, fruit, pizza, burritos, just about anything will do and is greatly appreciated.
